Practice Operations Review

$950 + GST

If the operational side of your practice has never had a proper look, this is where we start. You will come away with a full written diagnostic and a clear, prioritised plan, not a general overview, but something specific to how your practice actually runs.

This service includes a full review of your practice management software configuration. Any client information accessed during the process is handled with the same confidentiality you would expect of a clinical team member, covered formally in the service agreement.

  • Written diagnostic report with specific, prioritised recommendations, delivered within two weeks

  • If you have been running your practice for a while and something feels inefficient but you cannot pinpoint exactly what, that is usually the answer. This service is also a strong starting point for practices that have never had a formal look at how they run operationally.

  • Your website, intake and onboarding process, inbox management, practice management software configuration, billing workflows, client communications, appointment management, practice policies, and referral pathways. The questionnaire and discovery call give me a clear picture of how your practice actually runs before I look at what could run better.

  • You do, with email support available while you work through them. If you would prefer to have me implement these recommendations for you, that is available as a separate service.

  • Probably some of it. Knowing something and having it documented and prioritised are different things.

  • Questions as you work through the recommendations. It is scoped to the report, not open-ended.

  • The Practice Operations Review is available to practices using Halaxy or Cliniko. If you are on another platform, get in touch before booking and we can work out what is possible.

Halaxy Optimisation Audit

$395 + GST

For when your broader operations are in good shape but Halaxy is the specific sticking point. Most practitioners configure what they need at the start and move on. This is the audit that goes back and checks whether what you built is still working the way it should.

Any client information visible during the audit is handled with full confidentiality, covered in the service agreement. If you are also thinking about your broader operations, the Practice Operations Review includes this audit.

FAQs

  • Most practitioners configure what they need to get started and move on. An audit goes back over your full configuration such as billing, intake, client communications, automations, and identifies what is not set up correctly, what is missing, and what quick wins are available.

  • Your communication templates, automations, online booking settings, patient forms, appointment types, cancellation policies, and clinical tools and templates. These are the areas that most commonly have gaps or outdated configuration.

  • Yes. Getting the configuration right early is the primary purpose.

  • Yes, access is required for the duration of the audit. You can remove it once we are done.

  • Yes. The report and walkthrough are designed for that. Implementation support is available if you would like support making the changes.

Implementation Support

$130 + GST per hour

After a Practice Operations Review or Halaxy Audit, you have two options: work through the recommendations yourself, or have me alongside you while you do. This is time-limited, scoped to your report, and billed hourly as the work progresses. Availability is limited.

  • No. Implementation support works from a report.

  • It depends on the scope of your report, and what you need assistance with. We discuss this before you commit.

  • It closes once the report work is done. Ongoing support is a longer-term arrangement.

Ongoing Support

I work with a small number of practices and I am deliberate about that. This is a working relationship, not a subscription. When you are one of a small group of clients, I already understand how your practice runs and can act without a lengthy briefing every time something comes up.

Ongoing support covers the operational and administrative side of your practice. Scope and hours are worked out together before you begin.

This is available to practices that have completed the Practice Operations Review - that is how I get to know your practice well enough to be useful from day one. Spots are limited and do not open often. If there is no current opening, you are welcome to join the waitlist.

FAQs

  • A VA completes tasks you give them. A practice manager understands how your practice runs, identifies what needs to change, and manages the operational side without needing a detailed brief every time something comes up. The difference matters in a psychology practice specifically because the admin is not generic. I work exclusively with psychologists, which means I already understand the context before we start.

  • Not every psychologist does, and that is worth being honest about. If your practice runs smoothly and admin is manageable, you probably do not. If you are spending significant time on tasks that are not clinical work, regularly falling behind on admin, or growing to the point where you cannot manage operations alone, that is when it becomes worth considering.

  • The operational side of your practice — appointment management, intake, client correspondence, billing and rebate follow-up, document management, and day-to-day tasks in your practice management software. The specific scope is worked out together before you begin.

  • It varies. When you join, I will be in touch with a realistic timeframe.

  • In most cases, no. The review is how I get to know your practice well enough to be useful from day one. If you are an existing client or we have worked together before, get in touch directly.
